Executive Assistant Claremont

Our client, a leading professional services firm, is seeking a seasoned Executive Assistant with a minimum of 10 years of experience supporting C-suite executives. This role is crucial in ensuring the efficient operation of the executive’s office through effective administrative management and communication facilitation.

 Minimum Requirements and Qualifications

  • Bachelor’s degree or Diploma in Business Administration, Communications, or a related field is preferred.
  • At least 10 years of proven experience as an Executive Assistant or in a similar administrative role.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Strong organizational skills, proactive approach, and ability to handle sensitive information with discretion.

 Responsibilities

  • Administrative Support
  • Provide comprehensive administrative assistance to senior management, ensuring seamless office operations.
  • Calendar and Schedule Management – Efficiently manage the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.
  • Communication and Correspondence -,Act as the primary liaison for internal and external communications on behalf of the executive. Draft, review, and manage emails, correspondence, and other documents.
  • Travel Coordination – Organize domestic and international travel plans, including flights, accommodations, and itineraries. Prepare travel expense reports and ensure timely reimbursements.
  • Meeting and Event Coordination – Assist in planning and coordinating meetings and events, ensuring all logistical aspects are handled smoothly.
  • Document Management – Prepare and edit reports, presentations, and other essential documents.
  • General Office – Oversee office supply orders, manage office equipment, and maintain an organized office environment. Assist with special projects and conduct research as needed.
